We schedule classes on a first-come, first-serve basis, so be sure to schedule field trips early to ensure availability. The Chautauqua Safety Village is fully accessible to all children, just let us know the needs of your students prior to your visit!

Safety Education Field Trip Guidelines

To ensure the most positive and meaningful experience for all visitors, we ask you to review the following guidelines and share this information with all teachers/chaperones.

General Information

Field trips are approximately two hours long. Bike safety and Pre-K & K programs are shorter at 1 hour & 45 minutes. Be sure to schedule transportation times with this in mind.

Date availability is subject to change as we schedule on a first come, first serve basis.

Morning classes run from 9:15am-11:15am or 9:30am–11:30am.

Afternoon classes run from 12:15pm–2:15pm or 12:30pm-2:30pm.

If you are coming from a distance, we are flexible and can accommodate other times as needed.

Accessibility: The Safety Village is fully accessible to all children, please let us know the needs of your students prior to your visit so we can provide the best experience possible.

Dress Accordingly: Most programs have some outdoor components. Please ensure children have appropriate clothing for the weather conditions forecasted. It is preferred that the children wear closed toed shoes (running shoes) to prevent injuries.

Pricing & Student Numbers

• There is a minimum charge per class of $175.00. This covers up to 35 students. Groups larger than 35 will incur a flat fee of $5 per student.

Groups are limited to 64 students per session. If additional students are to be included, additional class times will need to be scheduled.

Each classroom can accommodate 32 students. Small groups with less than 32 students will be kept together as one group. This change is due to rising costs and we want to keep prices affordable. Should you prefer to separate the group into 2, there will be an additional $50 charge to accommodate the extra staffing. This will need to be confirmed at the time of scheduling.

BOCES Co-Ser: Schools can attend under the Arts-in-Education Co-Ser (403.000). An AIE form needs to be submitted along with an invoice from us for payment. If this is of interest, we can provide you with more information on the process.

Adult Chaperones

• Teachers AND parents are considered chaperones. Each field trip is limited to 6 chaperones to ensure we don’t become overcrowded and stay within fire safety code.

• If your group has special needs and will require additional aides or other paraprofessionals, please make arrangements when scheduling.

Please note: Safety Village staff must know the number of adults attending prior to field trip day.

Chaperone Rules & Responsibilities

Please ensure that chaperones DO NOT bring younger/older children with them, which are not part of the registered class.

Chaperones will be expected to actively assist with program components and with monitoring, supervising, and reinforcing safety rules as required, during all Safety Village activities.

For student safety, all parent chaperones who are not employed by the attending school or group should be prepared to present a valid state issued ID for check in when they arrive.

Parent chaperones are asked not to take photographs during the trip as some students may not have a photo release. Teachers who know which students have releases may take pictures.

Please no strollers in the classrooms.

Please ensure apparent chaperones do not arrive under the influence of drugs or alcohol.

We ask no phone calls are taken in the classroom. Please place them on vibrate and exit the room if you need to take the call.

Pavilion

We have a pavilion available free of charge to use if the class will be eating before returning to school. This will need to be reserved at the time of scheduling.

Please allow an additional 45 minutes if eating lunch with us.  The Safety Village does not provide lunch.

Other

• If you need to cancel or reschedule two weeks’ notice is required.

• In the event of a school closing, weather event, or natural disaster, field trips will be rescheduled to the next available date.
